What is the Luau and Silent Auction?

We look forward to incredible Polynesian dance and music performances from the OWM Elementary students. There are many fun activities for the students throughout the night, as well as a special performance by the Bucketeers—a student bucket drumming group. And it would not be a Luau without delicious Hawaiian cuisine.

In addition to being a Luau and community gathering, we are hosting a silent auction which is our largest and most important fundraising event of the year. 

How is money raised at the event?

How does the silent auction work?

Registration

You were assigned a bidding number when you bought your dinner tickets. If you choose not to have dinner, but want to bid on auction items, go to the table marked “Get your Silent Auction Bidder Number Here!”. Use only the bid number assigned to you for bidding on silent auction items.

Silent Auction

The Silent Auction opens at 3:30 pm. Auction tables will be set up with a bid sheet next to each item or auction package. As you identify items that you wish to bid on, you will write your bidder number and bid amount on the corresponding bid sheet on the table. Doing so constitutes a legal contract to purchase that silent auction item at the price you stated if your bid is the winning bid. Once a bid is entered it may not be removed. Starting bids and minimum increments of $5.00 must be honored. The highest bidder signing the Bid Sheet shall be the Buyer. To be valid, bids must comply with these minimums and be legible. If an item is not receiving bids, these minimums can be reduced.

You will want to watch your desired items closely so that you are not outbid. You can place a bid on any given item as many times as you wish until the item closes. The person with the highest bid when the item closes “wins” the item and is responsible for paying the final winning bid amount. We will announce a 5 minute warning before the “close” of the silent auction. At the close, an auction volunteer will immediately circle the winning bids on the bid sheets and collect the sheets to enter into the system. The Auction Committee reserves the right to withdraw any item at any time without notice before the actual sale. In the event of a dispute, the Committee shall act as the sole and final authority in determining the winning bid.

Silent Auction winners will be announced via email on Friday, June 8th.

How can I pay for auction items?

Currently enrolled OWM families may choose to have their Silent Auction purchases applied to their Smart Tuition account. You may also pay by check or cash when you come to the Pearl office on Friday, June 8th to pick up your item(s). We are working on establishing a PayPal account for those who do not use checks.

What happens with the money raised at the event?

The proceeds from tonight’s auction will provide outdoor equipment for our elementary student’s playground. This playground and outdoor environment project includes plans for student gardening, a small fruit orchard, shade trees, outdoor nature studies, nature art projects, a walking labyrinth, as well as a new climbing structure with safety pad underlayment allowing accessibility for all children. Our operating budget is limited, and only thanks to our supportive parent community and our generous donors are we able to continuously make improvements to the school.

When is the deadline to RSVP to the event?

Dinner ticket sales close on Wednesday, May 30, 2018. You are welcome to come to the event and enjoy all the activities without eating dinner.

Can we invite anyone else?

Yes, please invite anyone you think might be interested.

Can we bid on someone else’s behalf?

You are welcome to bid on the behalf of someone who is unable to attend the auction and has requested that you bid for them. However, the bidding must be done under the bidder number of the person present. The person present will be the one responsible for providing payment for any winnings, either by bringing a check from the person who was unable to attend or by paying on their behalf.  The person in attendance with the bidder number will also hold responsibility for picking up the won auction item(s).

Will we see a listing of the auction items before the event?

Yes, we will list the items on the website.

Can my children be a part of the bidding?

No, the auction area is just for adults. Children’s activities are provided to give you a chance to explore and bid on the auction items.

Will there be food at the event?

Yes, a luau dinner will be served. Choose either chicken teriyaki or vegetable stir fry as an entrée for $20 per person (under 2 years old free).

Will drinks be served?

Only water or tea will be served. No alcohol.
